Position Summary:

As our Purchasing & Inventory Management Specialist, you will be responsible for overseeing all aspects of the purchasing lifecycle, from supplier negotiations to inventory planning. You will ensure accurate forecasting, timely shipments, cost-effective purchasing, and proper inventory controls. You’ll leverage ERP systems (Odoo) and Inventory Planner by Sage to optimize stock levels, maintain open-to-buy targets, and align our inventory strategies with business growth.  

Responsibilities

  1. Strategic Purchasing & Vendor Management:
  2. Plan and forecast inventory requirements based on sales trends, lead times, and seasonal factors.
  3. Negotiate pricing, payment terms, and contracts with suppliers and vendors to achieve the best possible value.
  4. Maintain strong relationships with existing suppliers and identify potential new sources for improved quality and cost savings.
  5. Order & Shipment Coordination:
  6. Create and manage purchase orders, ensuring all details (specifications, quantities, shipment dates, etc.) are accurate and up-to-date.
  7. Consolidate shipments, plan container loads, and coordinate with freight forwarders to optimize transportation costs and timelines.
  8. Monitor order progress and communicate status updates to internal teams.
  9. Import & Compliance Management:
  10. Oversee import documentation, duties, tariffs, and customs clearances to ensure compliance with all relevant regulations.
  11. Collaborate closely with customs brokers and logistics partners to facilitate smooth inbound deliveries.
  12. Inventory Control & Analytics:
  13. Utilize ERP (Odoo) and Inventory Planner by Sage to maintain accurate inventory data, conduct demand planning, and ensure proper open-to-buy purchasing.
  14. Track and analyze key inventory metrics (e.g., inventory days, turnover rates, safety stock) to ensure optimal stock levels.
  15. Collaborate with warehouse teams to maintain organized and efficient inventory storage.

Must Have

  • 3+ years of experience in purchasing, inventory management, or supply chain roles, preferably in an import/distribution environment.
  • Proven negotiation skills and experience managing vendor relationships.
  • Proficiency in ERP systems (preferably Odoo) and familiarity with Inventory Planner by Sage.
  • Strong analytical capabilities and a data-driven approach to decision-making.
  • Excellent communication, organizational, and problem-solving skills.

Nice to have

  • Bachelor’s degree in Supply Chain Management, Business Administration, or a related field preferred.
  • Knowledge of customs, duties, and import procedures is highly desirable.
